Shoreham Ringcraft Club Rules

1. THE CLUB shall be called SHOREHAM RINGCRAFT CLUB.
The aims and objectives shall be to promote and encourage ringcraft training, positive socialisation and the management of dogs and puppies.

2. THE CLUB shall consist of a President, Chairperson, Honorary Secretary, Treasurer and Committee of up to nine members (one committee member to be the Webmaster. The Club to have an unlimited number of ordinary members. The Club shall not join any Federation of Societies or Clubs.

3. THE MANAGEMENT OF THE CLUB
The management of the Club shall be in the hands of the Officers of the Committee and the Committee. Officers and Members of the Committee shall be eligible for re-election every year at the AGM.

The Honorary Secretary, Treasurer and the Committee shall have voting rights. The Chairperson shall have a casting vote. The President shall have no voting rights. The President shall be chosen and elected by the Committee at the first meeting after the AGM.

Meetings of the Committee shall be held as often as are deemed necessary, but at least once a year. A quorum for Committee Meetings shall be 6. Officers of the Committee are required to attend half of the meetings held each year, unless reasonable excuse is given. Officers and the Committee are also required to attend 2 sessions either Training or Match, per calendar month, unless reasonable excuse is given. In both instances, non-compliance may result in them being stood down from the Committee after a vote has been taken by the remaining Committee Members at the first appropriate meeting. The Officers and Committee shall have the power to co-opt members onto the Committee in the event of positions becoming vacant between the AGM of The Club at which Election of Officers and Committee takes place. In exceptional circumstances, Election of Officers, can be by Committee alone.

4. HONARARY LIFE MEMBERS
The Officers and the Committee of the Club, when deemed appropriate, may nominate Honarary Life Members. Such nominations to be submitted for acceptance to a vote of members at the Annual General Meeting. Honorary Life Members shall have all the rights and privileges of membership but shall not be liable to pay any further subscription, but will be required to supply their details to the Honorary Secretary annually.

5. ANNUAL GENERAL MEETING
The purpose of the meeting is to receive the reports of the Chairman, Honorary Secretary and Treasurer, the election of Officers and Committee and to discuss resolutions duly placed on the agenda, of which prior notice has been given to the Secretary. No business shall be transacted at an AGM unless notice appears on the Agenda. A notice of the AGM will be displayed to the members at least TWO WEEKS prior to the AGM, at the Club Training Session, Match Night, or other event and will also, where possible, be displayed on the Club Website. Items for inclusion on the Agenda must be submitted to the Honorary Secretary at least TWO DAYS before the AGM. The AGM Agenda will be circulated to members at the AGM.

6. EXPULSION OF MEMBERS
Members who are disruptive or offensive in their behaviour during the training shall be asked to modify their behaviour or asked to leave the training evening by a Committee Member (preferably The Chair). Any further disruption by the same member may involve the matter being referred to Committee to be discussed at a formal meeting. The details of the outcome may be submitted to the Kennel Club.

No member can serve as an Officer on the Committee if they have a court conviction against them, which is deemed detrimental to the club by the Committee.

Any Member who shall be disqualified under Kennel Club Rule A11.j.(5) and/or Kennel Club Rule A11.j.(9) shall ipso facto cease to be a Member of the Club. If the conduct of any Member shall in the opinion of the Committee be injurious, or likely to be, to the character, or interests of the Club, the Committee may at a meeting which includes as an object the consideration of the conduct of the Member, determine that a Special General Meeting of the Club be called for the purpose of passing a resolution to expel him/her. Notice of the Special General Meeting convening shall be sent to the accused Member giving particulars of the complaint and advising the place, date and hour of the meeting, and that he/she may attend the meeting and offer an explanation.
If, at the meeting, a resolution to expel the accused Member is passed by a two thirds majority of the Members present and voting, his/her name shall forthwith be erased from the list of members and he/she shall thereupon cease for all purposes, to be a Member, except that he/she may within two calendar months from the date of such a meeting, appeal to the Kennel Club upon which, subject to such conditions the Kennel Club may impose. The Club will report the expulsion of any Member to the Kennel Club within seven days of the meeting.

7. SPECIAL GENERAL MEETING
A Special General Meeting shall be summoned by the Hon. Secretary if 6 Members send a signed requisition stating the subject to be discussed and requesting a Special General Meeting to do so. The Committee of the Club is also empowered to call a Special General Meeting.

No business other than that detailed on the Agenda can be discussed at a Special General Meeting.

A Notice of the Special General Meeting will be displayed to the members at least two weeks prior to the meeting, at the Club Training Session, Match Night or other Club event, and will, where possible, also be displayed on the Club Website.

8. VOTING
Each Member shall be entitled to vote immediately upon acceptance of membership. Each Member shall have one vote, including (if there are any) Junior Members (ie a member who is of school age). Voting shall be decided by a majority at meetings.

9. AMMENDMENT TO RULES
The rules of the Club may not be altered, except at a General Meeting, the notice for which contains specific proposals to amend the rules. Any proposed alteration to the rules may not be brought into effect until the Kennel Club has been advised and has approved the alteration. New rules or amendments introduced specifically to meet Kennel Club requirements shall be adopted immediately.

10. CLUB BANK ACCOUNT
A banking account shall be held in the name of the SHOREHAM RINGCRAFT CLUB into which all revenue of the CLUB shall be paid and all withdrawals shall only be made on the signatures of the current Treasurer and Secretary or one other designated member of Shoreham Ringcraft Club Committee.

11. IN CASE OF CESSATION OF THE CLUB
The property of the Society/Club shall be vested in the Committee. In the event of the Club ceasing to exist, a Final General Meeting shall be called to decide the disposal of the Society/Club’s assets and the outcome of the meeting notified to the Kennel Club.

12. ANNUAL SUBSCRIPTIONS
The annual subscriptions shall be an amount as agreed by the Officers and Committee and notified to the Members.

Membership shall be renewable on 1st January each year. New Members joining on or after 1st November and before 1st January can join at a reduced rate for the current year.

All persons participating must be a fully paid up member. No member whose subscription is unpaid is entitled to any of the privileges of membership and if the member fails to pay outstanding subscriptions, his/her name shall be automatically erased from the register. Acceptance back on the register will be dependent upon a new application and payment of arrears.

All members MUST complete a membership form, annually, providing details of their name and address.

13. CLUB NIGHT AND MATCH NIGHT FEES
Club night and Match Night fees are payable by all MEMBERS participating. No concessions shall apply for Committee Members or Officers of the Club/Society.

14. THE FINANCIAL YEAR OF THE CLUB
The financial year of the Club shall be from 1st January to 31st December. The Annual General Meeting shall be held in February.

15. MAINTENANCE OF TITLE FEE
The Officers acknowledge that during the month of January each year, the maintenance of title fee shall be forwarded to the KENNEL CLUB by the Treasurer on behalf of the Secretary for continuance of registration, and that by 31st July each year, returns will be forwarded to the KENNEL CLUB, by the Secretary, as stipulated by the Kennel Club to maintain Registration and Listing.

16. MAINTENANCE OF LIABILITY
The Officers acknowledge that during the month of January each year, the maintenance fee will be forwarded to the Kennel Club by the Treasurer on behalf of the Secretary for the Continuance of the Insurance.

17. MEMBERS LIST
The Club shall make a list of current members, their addresses, telephone numbers, email address, Breed of Dogs. Current list held by Treasurer and Secretary.

18. RESPONSIBILITY OF THE CLUB
The Club takes no responsibility for members, visitors, dogs, belongings or otherwise at any time before, during or after Training Sessions, Meetings, Match Nights or any other event put on by the Club.

19. BITCHES IN SEASON
In fairness to all members, bitches in season shall not be brought to club premises under any circumstances, until after the end of the season.

20. MEMBERS RESPONSIBILITY
Members are reminded that they are responsible for their dogs, belongings or otherwise at any time before, during or after Training Sessions, Meetings, Match Nights or any other event put on by the Club and are required to clean up after their Dogs both inside the hall and in the grounds.

Members are also responsible for the behaviour and control of their dogs whilst at any Sessions, Meetings, Match Nights or events put on by the Club, and any member allowing their dog to become out of control, to the detriment of other dogs, club members, guests or trainers, or judges, will be asked to modify this behaviour. (Help may be available from other members, or trainers with this). It is also the owner’s responsibility to make the trainers aware of any sensitive areas their dog may have, before trainers handle them.

Any dogs that may have an illness/condition which could be contagious to other animals, may not attend Training Sessions, Meetings, Match Nights or any other event put on by the Club.

21. BANKRUPCY
No person whilst an undischarged bankrupt may serve on the Committee of, or hold any other office or appointment within a Kennel Club Registered Society.

22. KENNEL CLUB FINAL AUTHORITY
The Kennel Club is the final authority for interpreting the rules of the Club in all cases relative to canine or society matters.
